How to Backup your Photos in Adobe Lightroom

Backup Scenarios

For the last six months I’ve been trying to come up with a scenario to backup or Synchronizing my photos in Adobe Lightroom to keep them safe from disaster or hard drive failure.  This scenario will also work for all of your other data on your computer as well.  Most people don’t back up their photos or data. But, consider this -  hard drives have a useful life of about 3 to 5 years or less.  So, it is important to backup your precious photos.   I like to have my photos in three separate places; one on my hard drive in my computer; a synchronized backup on a external hard drive; and one more that is backed up periodically and off-site in case of fire or disaster.  Let’s face it – your photos are not just a bunch of data.  It’s years and years of photographs that need to be protected.   This scenario will also work for all your other data on your hard drive.

A Word About Adobe Lightroom Backup

When you backup a catalog in Lightroom it only backs up the catalog.  It does not back up your photos in this catalog.   Your catalog only contains information about your photos.  It’s location, keywords, ratings, collections, developed settings and so on.  Your original photo data files are never changed in Lightroom.  All of the changes made in Lightroom are stored in the catalog and the XMP sidecar file. The XMP sidecar file contains all of your Lightroom settings for a particular photograph.  So, you want to also make sure you backup the XMP sidecar files.   The XMP sidecar files are created when you make changes in Lightroom to a photo and are located in the same directory as the photo.    The XMP file naming are the same as the photos except the extension is .xmp. To completely backup Lightroom make sure the following files are backed up:

  • Your Lightroom catalog file
  • Your photo files
  • Your XMP sidecar files

Software – Backup and Synchronization

I have tried several backup software packages like Windows 7 Backup that comes with the operating system, Acronos TrueImage 12, 2BrightSparks SyncBack  and the one that I use Syber Systems Goodsync 9.  It’s simple to use and the most stable, at least on my system, and does exactly what I need it to do.  I backup my photos in several places.  GoodSync 9 will backup to internal and external hard drives and will even backup or synchronize your files between two computers locally or over the Internet. I can highly recommend GoodSync 9 for all of your backup needs.  You can download a full version and try it for 30 days to see if GoodSync 9 is right for you before you buy it.  After the 30 day trial period you can still use GoodSync, but at a limited capacity.  GoodSync 9 works on Windows and Apple systems, as well.  If you are only backing up to an internal or external hard drive you will only need one license.  However, if you are going to sync between multiple computers you will need a license for each computer. Each additional license is at a reduced rate.

Use GoodSync 9 for File Backup

GoodSync 9 backs up files by copying from a source folder to a destination folder.  Files are changed by the user only on the source folder, with changes sent to the destination folder for backup.

Backing up your data is a necessity, so when important images, spreadsheets, MP3s, financial documents, and emails are lost, you’re able to easily restore them with your backup copy on the destination folder.  With file backup, your data is sent in one direction, to a destination folder on a location where it can be safely stored.

Backing up your files is important whether you want to completely restore a computer following a crash, or to restore small numbers of files after they have been accidentally deleted or corrupted.  Backups are typically the last line of defense against data loss.  With GoodSync you can back up files to a different location or device, including but not limited to flash drives, servers, laptops, desktops, or other external drives. GoodSync also supports FTP, SFTP, WebDAV, and Amazon S3. All GoodSync file backups are fast and secure, and can be completed locally, over a network, or over the internet.

Why is GoodSync file backup superior to traditional backup?

  • GoodSync is faster and more efficient.  GoodSync file backup employs a sophisticated synchronization algorithm to detect which files on the source folder have been changed, and only backs up the files that have been changed by the user.  This is much more efficient than backing up the entire source folder every time files are backed up like traditional backup services.
  • GoodSync provides easy access to your files.   Unlike traditional file backup services, GoodSync directly backs up and updates the actual data files themselves.  Instead of creating an image of the source data that has to go through a cumbersome restoration process, GoodSync makes an identical replication of the files in the source folder when transferring to the destination folder.  In the event of data loss in the source folder, this means that files in the destination folder can be launched immediately, thereby reducing any unnecessary downtime.
  • GoodSync has the most options for file storage.  GoodSync backs up files that are in folders that are located on a hard drive, network, removable drive, FTP, SFTP, WebDAV, or Amazon S3. GoodSync can backup files locally, through a network, or through the internet.  GoodSync is available for Windows and Mac and can be installed on a workstation, USB drive, or a server.

Software – System Backup

System backup is a another animal.  The scenario above will not back up your system files, however, there is a solution.  What you will need to do is create a  clone of your system hard drive or C: drive.  There are two programs that I’ve used in the past to do this.  One is Norton Ghost and the other is  Acronos TrueImage 12.  There are many other programs out there that I have not tried or used.  These programs will make an identical copy of your entire hard drive. Once you have made clone of your drive to a second hard drive.  All you have to do at that point is swap out the SATA cable from the old hard drive to the new hard drive and your computer will boot up the same as the old hard drive.  It is a good practice to periodically backup your whole hard drive any time you add new software. Just remember, the new hard drive has to be the same size or larger then the old hard drive.  In this scenario if your hard drive crashes all you have to do is install the cloned drive in your computer and your system will be restored to the time you created the cloned backup.   After that all you have to do is resynchronize your data back to the new system hard drive.

Hardware – Hard Drives (Option 1)

The first scenario and probably the least expensive solution  is called JBOD or (Just A Bunch Of Drives).  What we’re talking about here are external hard drives that can be connected with USB 2 or USB 3 if available,  eSATA or FireWire.   I recommend you buy these in pairs.  One drive for daily backup and the other for periodic backup to be kept in a fireproof and waterproof safe.  It’s even better if you can keep it off site with a friend, family or at your office.  This may sound a bit paranoid but my photos are very important to me and my business.  This is what I use at this time.  But in the future I will probably move in to the Drobo RAID unit.

Hardware – Drobo RAID System (Option 2)

RAID is an acronym for random array of inexpensive drives.  You can find the Drobo system starting at around $350.00 not including the hard drives.  The smallest Drobo unit holds up to 4 hard drives and some units hold 5 or more hard drives.  I’m just going to talk about the 4 bay unit. This unit is compatible with USB 2 and FireWire 800. Other units have USB 3, Ethernet and iSCSI.  All you have to do is install a minimum of two hard drives in the Drobo unit and what’s nice is that drives can be any 3.5″ SATA I/II/III and any capacity you may have and any manufacturer hard drive. You can mix and match say a 500 GB with the 1 TB to 2TB and even a 250 GB hard drives.  The unit can handle drives up to 2 TB and 4 TB with the free software upgrade from Drobo.  The Drobo is a redundant RAID system which means it creates one logical drive on your computer out of the 2 to 4 hard drives you have installed in the Drobo unit.  Each file on the Drobo unit is written to two locations on separate hard drives to protect your data from hard drive failure. The status lights on the front of the Drobo will indicate if a drive has gone bad or is about to fill up.  If you need to replace a drive that’s bad you can hot-swap that drive with the new one.   If the lights indicate that a hard drive is almost filling up, all you have to do is replace the smallest drive with a larger one at any time and the Drobo unit will automatically copy the files from the other hard drive accordingly to achieve redundancy on the whole unit.  There are other RAID systems out there that will achieve similar results but this one seems to be the simplest to use and set up.  The Drobo comes with its own backup software.  I have not personally used the Drobo system but have read many positive reviews on this product.

However you decide to back up your photos and data do your homework on the products out there.  Create a plan to back up your precious photos and data.  Now all you have to do is backup your photos and data.  This will give you the peace of mind knowing all your photos and data are safe from a disaster or hard drive failure.

  • Decide what backup software will work best for you.
  • Decide what hardware will need.
  • Keep a copy of your backed up files off-site.
  • Implement your plan for backup.
  • Periodically check your backed up files to make sure that your backup plan is working properly.

Finally, get out there with your camera and photograph our beautiful world knowing that your photographs are safe and backed up.

New Lightroom 4 is Here! Learn it All!

Lightroom Overview

Before we get in the Lightroom 4, let me explain what Lightroom is. Lightroom is all about photography, speed and workflow. It was designed for the professional photographer along with the advanced amateur who needs a fast way to process their images. For more detailed editing Lightroom works seamlessly with Adobe Photoshop CS5, along with older versions of Photoshop. If you can’t afford Photoshop, consider using Photoshop Elements with Lightroom. There’s a cool plug-in from photographers toolbox that allows you to run Photoshop Elements 8 or newer through Lightroom. The plugin requires a small donation to activate.  Not only is Lightroom a great photo organizing tool with its library module, It is also a fast photo editing tool in the develop module. In the web module you can create website flash galleries fast and publish them on your website. In the slideshow module you can create slideshows  with sound that you can share on YouTube, Facebook or save as a video file. The print module is all about printing that allows you to print picture packs and individual prints.

What’s New in Lightroom 4

In the new version of Lightroom 4 Adobe has added two new modules. The Map module lets you view and organize your photos by map location with your geo-tagged photos. You can also manually add the GPS locations to your meta data. In the new Book module you can create books right within Lightroom and publish them directly to Blurb, the photo book publisher. You can also save books to a PDF file format to self publish or send off to your favorite book publisher. The hot new feature in Lightroom 4 is the ability to organize, view and edit your videos. Videos can be viewed and played right in Lightroom 4. Videos can also be trimmed at both ends and minor adjustments can be made like color temperature, tinting, exposure, clarity and vibrance. There are many more enhancements in Lightroom 4 and is well worth the upgrade price.

Build or Buy a Computer for Lightroom 3

Looking to speed up  Lightroom 3?  In my last article, Speed Up Lightroom 3, I talked about setting up preferences in Lightroom 3 to increase performance and adding a few small upgrades to help speed things up.   But, sometimes, your computer may be too old to make a difference. you may need a major upgrade or a new computer.

I recently upgraded my own computer and saw significant Lightroom 3 speed increases. Well, it’s basically a brand-new PC at this point. My old computer had a Gigabyte brand motherboard with the Pentium D dual core processor 2.8 GHz processor with 4 GB of memory. Here is a list of the components I used to build my new PC:

Case – Cooler Master Haf 912 with three additional optional fans. Five fans total. Why so many fans? Heat can kill a computer or at least slows it down. A cool PC is a happy PC.

Power Supply – Antec 520 Watt high current power supply.

Motherboard – Gigabyte brand model Z68X-Ud3-B3 discontinued. (Update December 2011 new generation motherboard Gigabyte brand model GA-Z68X-UD3H-B3) This is my third Gigabyte brand motherboard I have installed in my computers. I just install them and they work.GIGABYTE GA-Z68X-UD3-B3 LGA 1155 Intel Z68 SATA 6Gb/s USB 3.0 ATX Intel Motherboard

  • LGA1155 CPU Socket
  • Intel® Z68 Express Chipset
  • 4 x 1.5V DDR3 DIMM sockets supporting up to 32 GB
  • 2 x SATA 6Gb/s connectors
  • 4 x SATA 3Gb/s connectors
  • Up to 14 USB 2.0  ports 8 external
  • Up to 4 USB 3.0  ports 2 external
  • ATX Form Factor; 30.5cm x 24.4cm
  • 6 x audio jacks
  • Up to 2 IEEE 1394 port 1 external

Intel-Core-I7-2600kCPU – Intel Core I7 2600k 4 core / 8-Way Multitask processor. Unlocked 3.4 GHz and 3.7 GHz in turbo mode. This processor and motherboard combination can be over clocked but it is not necessary at this time.

Memory – 2-Gskill, 4GB, 2 channel DDR3 1600 memory modules for a total of 8 GB.

I used my old hard drive. Seagate 1TB

I also used my old video card – EVGA GeForce 9500 GT 512MB video card. New version EVGA GeForce GT 430 1GB

Operating System – Windows 7 Professional.

Upgrading the PC to this new configuration has dramatically improved my performance when using a program like Lightroom 3. Just starting up Lightroom would take approximately 60 seconds and now it only takes 3 seconds. Other Programs like Photomatix Pro, an HDR plug-in for Lightroom used to take 5 to 6 minutes to process, now takes less than a minute. Another program I use is Proshow Gold, a slide show presentation program, also saw dramatic improvement.

Windows 7 is a real improvement over Windows XP. I chose Windows 7 Professional because it has a Windows XP emulation mode that allows me to run older software that is only compatible with Windows XP.

Cooler Master HAF 912Upgrading this computer was well worth the expense of about $700 to $800. You may not want to build a computer yourself, but if you’re looking to purchase a new computer you can use the specifications here to give you a guide on what to look in specifications. I hope this article helps you in your photography editing and improves your Lightroom experience.

Speed up Adobe Lightroom 3

Lightroom 3 is a great program to organize your photos and is an excellent tool for editing your photographs. But, if you have an older computer system like I had, Lightroom 3 can get a bit sluggish. Here are a few things I found that can help.

Optimize Catalog

After a while using Lightroom you may notice that Lightroom is running a little slower than usual. By optimizing your catalog you can fix this problem easily. To do this go to the top and select file then select Optimize Catalog. Now you will get the Optimize Catalog dialog box.(See Below) Now select Optimize Catalog. This will take a few minutes depending on the size your catalog. You will not be able use Lightroom during this period.

Card Readers

When uploading photographs use a card reader rather than directly from your camera and use a card reader that uses USB2 or USB3, if available. This way the upload is noticeably faster.

TIFF rather than PSD

For external editing use TIFF rather than PSD file format. TIFF files process faster than PSD files. To set this up, go to the top and select Edit then Preferences. This will bring up the Preferences dialog box.(See Below) At the top of the Preferences dialog box select External Editing. Go to the drop down box File Format and select TIFF. These are a few of the other setting I use. In the Color Space select Prophoto RGB. In the Bit Space select 16-bit/component. Set Resolution to 300. Finally, set Compression to None. Then press OK at the bottom when finished to save the changes.

Trash Bin

Empty your Trash Bin often. Lightroom creates a lot of extra files. Do this and it will keep your system clean.

Uncheck Automatically write to changes in XMP

To do this go to the top and select Edit then select Catalog Settings. The Catalog Settings dialog box will now appear.(See Below) Select Metadata at the top. Uncheck the box marked Automatically right to changes in XMP. Then press OK. Please Note: This will disable the catalog from saving any changes you make in the catalog from updating the XMP Sidecar file. But it does improve speed. After you have modified a group of photographs, you can manually save to the XMP Sidecar file. Select all the photos that you are working on and press Control and then S to save the data to your XMP Sidecar file. This way other programs that use the XMP file can recognize the changes you made. Then press OK at the bottom when finished to save the changes.

Change the camera raw cache settings

To do this first select Edit. Then select Preferences. You will now see the Preferences dialog box.(See Below) Go to the bottom of the dialog box and change the default from 1 GB to a higher number like, 10, 25 or even 50 GB. I use 25 GB. Camera cache is used to store the image previews. By increasing the cache size it allows you to store more previews. This will increase your speed of moving between photographs. Then press OK at the bottom when finished to save the changes.

Build Previews

To help speed up your photo editing we are going to select a group of photos and have Lightroom create previews for that whole group of photos. This will allow you to move from photo to photo in a shorter period of time. In the Library section first select a folder or group of photos. Don’t select the whole catalog, as this could take a lot of time to process and is not necessary. To do this at the top select Library then Previews then select Renders Standard Size Previews. A dialog box will appear and then choose Build All. This will build previews for all the photos you selected. Now when you go and access each one of those photographs they will pop up much faster and not need to build preview each time you select it.

Here are few upgrades you can perform on your computer that may improve the performance also:

Use a faster hard drive – This will improve your over system performance.

Add RAM of 8GB or more. Lightroom uses a lot of memory. so this will help with Lightroom performance.

Conclusion

If these steps don’t help enough it may be time for a new computer. In the next article I will be building a new computer with the new Intel Core I7 2600K Processor to supercharge the performance for Lightroom 3 and video editing.

Adobe Photoshop Lightroom 3 Online Training Videos

Lightroom tutorialsWhen I first considered Adobe Photoshop Lightroom 2, I wanted to try it out.  You can downloaded it as a free 30 day trial from Adobe.   From  my research, this program was just what I was looking for.  You can organize your photos and edit them very quickly.   The problem is,  learning all the features in this program using the manual could take months to learn.  Then I found the lynda.com online training course by Chris Orwig, a photographer and instructor at the Brooks Institute of Photography in Santa Barbra, California.  In a mater of days after viewing his online video course I was proficient in Lightroom 2.  After a week I had all my photos cataloged (about 25000 photos) and could edit about 100 photos in about an hour. Wow!
